 Executive Assistant / Event Planner Position - September 2017

The Financial Management Institute of Canada (fmi*igf) is looking for an executive assistant to complete its team and help move the organization in a new and exciting direction. This person will report directly to the CEO, as well as, provide support for its learning events. fmi*igf is a well-recognized not-for-profit organization that offers professional development to all levels of governments across Canada through its learning events, online courses, webinars and e-Journal.

Full-time (37.5 hours / week), permanent position with vacation, sick leave and a benefits package.

  • Provide National Office reception and various executive administrative support services.
  • Organize and prepare meetings, as well as, act as Recording Secretary to the National Board of Directors and the Chapter Advisory Council.
  • Assist in various other special projects under the direction of the CEO or other staff.
  • Assist with proofreading and translations for the registration system, website, marketing products and e-Journal.
  • Assist in programming and testing of the registration system before the launch of event registration, including writing, in both English and French, of automatically generated emails.
  • Provide registration support to delegates, coordinators, and fmi*igf Chapters, including modifications, cancellations, invoice payments, etc.
  • Assist with miscellaneous queries on the registration system.
  • Create various event, including researching and analyzing data.
  • Provide new products ideas that would benefit existing systems, including evaluation, testing, and report recommendations.
  • Prepare and coordinate shipments of materials to respective event venues.
  • Plan for and order event supplies.
  • Prepare event badges and registration packages for VIPs.
  • Set up and manage on-site registration, greet delegates and field questions.
  • Prepare and distribute CPLD certificates after each event.

Qualifications:

Experience

  • Successful completion of post-secondary education in the Executive Office Administration program.
  • Experience with Microsoft Office Suite.
  • Applied knowledge of social media.
  • Experience with databases an asset.

Skills

  • Proficiency in both English and French in writing, reading and conversation.
  • Strong interpersonal skills, with experience in greeting people, both in person and over the telephone, and responding to written correspondence/emails.
  • Strong multi-tasking organizational skills.
  • Capacity to work both independently and as a team member.
  • Initiative and ability to work with minimum supervision.
